Populate the Stage field with the stages you defined in the Sales Process Builder, for example Qualified, Discovery, Proposal, Negotiation, then Closed-Won or Closed-Lost. Place each deal by its objective criteria, not by optimism.

Every open deal always has a defined next step and date. A blank next step field is treated as a problem to fix now, because deals die in the gaps between actions more than from outright rejection. Enter every deal; update its stage by objective criteria; document discovery findings on the deal; advance it when a proposal goes out; and mark it won or lost with a reason at close, so your data stays clean.
